1. The Data we collect
As a data controller we collect a variety of data in order to deliver our services, and we will manage your personal data transparently, fairly and securely.
We may ask you to provide us the following data –
Name and Surname
Contact information including email address and phone numbers you provide
Address and postcode
Date of your wedding and venue
Details / notes taken in a meeting with you; to help us remember conversations and details so we can provide the best possible service on the day.
If you email us or message us through social media these messages are stored within our email account and social media account and are stored as long as practicable so it allows us to provide you with better future services.
As we are a photographic & videographic business we also create and manage images as per our contractual agreement(s).
2. What we do with the information we gather
We require this information to understand your needs and to provide you with the best possible service; we may use the information you have provided for:
Internal record keeping
To improve our products and services
To fulfil an order
We may send you emails from time to time to arrange meetings to discuss your wedding and timings in more details, let you know about special offers and new products, keep you updated on your images and other information you may find interesting using the email address you have provided.
We are also required by law to collect and retain certain information relating to any order you place with us and wedding booking you make with us to comply with HMRC accounting regulations.
3. Who do we share it with?
Veroda Productions ltd takes your privacy very seriously. We do not sell your data to third party organisations. There are only a few cases where some of your data may be shared with third parties to allow us to provide our services to you and these include:
Service Providers for delivery and postage to allow us to send you documentation, orders and albums (information shared would include Name, Address and in some case email address / mobile number)
Manufacturers (our album provider), information shared includes Name, wedding date and venue.
Customer payment provider when placing and online order so we can process your order and fulfil our service to you, information shared includes, name, address and email address.
Data Recovery Companies (in the event any data becomes corrupted due to a malfunction with our hard drives or accidental damage), we will never share your name and address to the Data Recovery Company but only seek to recover any video files or photos we have captured from your events to minimise the risk of a complete photo and video failure to providing our services to you.
4. How long is the data stored?
We will retain your data for a period of 2 year after we have given you the completed products we have contractually agreed, we will archive your photographs and videos indefinitely in that period of time along with your relevant details and consent forms. This is due to requests for replacement images being made several months after being taken.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we place your data in a secured office and in Hard Drives that stay in office at all times to safeguard and secure the information we collect online.
When you visit our website we also collect Cookies. A cookie is a small file, which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.
We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

You may choose to restrict the collection or use of your personal information by letting us know what you are not happy with and we will remove your details immediately.
We will never sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen. You may request details of personal information, which we hold about you under the Data Protection Act 1998. A small fee will be payable. We may hire a third party company in order to help process your wedding photo and video, but we will never give them permission to make copies or share your data with any other third parties.
